And yet, before the project, most of the information still lived on paper. The only shared tool was Google Calendar, used to log site surveys and jobs.

We’re building a company operating system able to connect the whole of the work: from the lead coming in to the job’s completion and its financial control.

Not just another piece of management software, but the central point through which the company runs.

The starting point

Every activity needed the information gathered in the previous steps, but that information didn’t live inside a single system.

The lead would arrive, the site survey would be arranged, the surveyor would collect measurements and photos, the order would move on to logistics, and finally the installation would be scheduled.

Paper, email and Calendar let the company work, but not have a complete, up-to-date view of every client and every job.

As the business grew, keeping control with the same tools was becoming harder and harder.

The system we’re building

We redesigned the company’s entire operational path and are moving it into a single platform.

The system starts from the lead coming in, which can arrive:

  • from the website;
  • from a campaign;
  • from a phone call;
  • from a manual entry.

From that moment, a single record is created that follows the client through every step that comes next.

From lead to site survey

The lead is qualified and moved toward scheduling the site survey.

The appointment is assigned to the surveyor in charge, who can open the record directly, linked to the CRM.

During the survey they can:

  • consult the information already collected;
  • enter data and measurements;
  • take and upload photos;
  • update the status of the activity;
  • start generating the render;
  • prepare the information needed for the sales stage.

The site survey is no longer an isolated entry on a calendar: it becomes a tracked part of the job.

From confirmation to logistics

Once the client confirms the order, all the information gathered continues to be used in the following stages.

The system connects:

  • order confirmation;
  • materials needed;
  • suppliers;
  • logistics;
  • team assignment;
  • installation scheduling;
  • job progress.

Every department works from the same set of information, without having to reconstruct what was decided in earlier stages.

Financial control of the job

The system doesn’t just show what needs to be done.

For every job it connects revenue, costs, materials and operational activity, giving the company a more precise view of the financial outcome.

The goal isn’t just knowing how many installations get completed, but how much value each job actually produces.
